Build a Team Knowledge Assistant People Trust

Guides · EN · 2026-10-26

An internal knowledge assistant can help your team find answers in product documentation, support policies, meeting notes, incident reports, and engineering decisions. The useful version is more than a chatbot connected to a folder. It retrieves the right evidence, respects access permissions, shows its sources, and clearly states when the answer is uncertain.

In 2026, build the assistant as a controlled search and reasoning system. The language model should explain relevant company knowledge, while your data layer remains responsible for retrieval, freshness, and authorization.

Start with a narrow, measurable use case

Choose one workflow before indexing your entire company drive. Good starting points include answering questions about deployment procedures, explaining customer support policies, or finding the owner of an internal service. A narrow scope makes it easier to measure accuracy and identify missing documents.

Define 30 to 50 real questions from employee conversations. Record the expected answer, the source documents, and whether the assistant should refuse to answer. This evaluation set becomes your baseline for every later change.

Prepare documents for retrieval

Knowledge assistants often fail because the source content is poorly prepared. Remove duplicate files, archive obsolete policies, preserve document titles and headings, and attach metadata such as department, owner, creation date, review date, and confidentiality level.

Split long documents into sections that preserve meaning. A useful chunk usually contains a heading, a few related paragraphs, and enough context to stand alone. Store the original URL or document identifier with every chunk so the assistant can cite the source and users can inspect it.

Make access control part of retrieval

Never rely on the model to hide restricted information. Connect the assistant to your identity provider and pass the user’s groups or roles into the retrieval service. Apply authorization filters before any document text enters the model context.

Test users with different roles, including contractors and recently removed employees. Also check indirect leakage: a response should not reveal the title, existence, or summary of a confidential document when the user cannot access it.

Design answers around evidence

Give the model a strict response policy. It should answer from retrieved sources, cite the document title and section, distinguish documented facts from reasonable interpretation, and say that it cannot verify an answer when the evidence is insufficient. A short answer with two strong citations is more useful than a confident paragraph assembled from weak matches.

Ask follow-up questions when a request is ambiguous. For example, “What is the refund policy?” may require the assistant to identify the customer plan, region, or policy version before answering. Include the document’s review date when policies can change.

Choose models and control cost

Route simple classification, summarization, and query rewriting to a lower-cost model, then reserve a stronger model for complex multi-document questions. For example, Gemini 3.8 Flash can handle lightweight retrieval tasks, while Claude Sonnet 5.5 can produce careful answers that require broader synthesis.

59API is a practical low-cost option for this architecture because it offers pay-as-you-go access to native official-quality models through one relay. Its API base URL is https://api.59api.com, and it works with Claude Code, Codex, Gemini CLI, and OpenAI SDK integrations. That lets a small team compare models without committing to several separate billing systems. Developers can also use its referral rebate when inviting colleagues.

Evaluate, monitor, and improve

Measure retrieval recall, citation accuracy, answer correctness, refusal quality, latency, and cost per question. Review failed conversations weekly and label the cause: missing content, stale content, permission filtering, poor search, or model reasoning.

Track unanswered questions as documentation work. Add an owner and review date to important sources, refresh embeddings when content changes, and maintain a small set of adversarial tests for prompt injection, confidential data, contradictory policies, and unsupported claims. Start with one team, connect the assistant to a few trusted sources, and expand only after the evaluation results support it.

When you are ready to prototype, sign up for 59API and connect your existing SDK to https://api.59api.com. A small, measured deployment will show where an assistant saves time while keeping your team’s knowledge under your control.
